Power BI na gestão e administração escolar: aplicação a uma escola do Ensino Superior Politécnico

A administração e gestão escolar lida com um grande volume de dados, mas frequentemente recorre a relatórios manuais. Embora o uso das ferramentas de Business Intelligence (BI) seja cada vez mais comum, no sector da educação esta abordagem permanece pouco explorada. A Escola Superior de Tecnologia de Setúbal do Instituto Politécnico de Setúbal (ESTSetúbal/IPS) viu o seu sistema de informação (SIGARRA) descontinuar em 2024/25. O objetivo principal foi então desenvolver um dashboard sobre o perfil dos seus estudantes entre os anos letivos 2017/18 e 2023/24, recorrendo à nova tecnologia Power BI, de modo a facilitar a recolha e visualização dos números da Escola, automatizar tarefas, otimizar tempo e dispor de um backup das informações organizadas do seu sistema de informação (SIGARRA) que foi descontinuado. O processo teve início com a identificação destes problemas; depois veio a recolha, o tratamento de dados e a estruturação da informação para o Power BI; o desenvolvimento da visualização no próprio dashboard e por fim a sua análise, tendo sido usada a metodologia: Investigação-Ação. Através do Power BI foi possível integrar dados sobre inscrições, género, nacionalidade, cursos, estatutos, desistências e diplomados, entre outros indicadores relevantes. Conhecer a escola de modo interativo permitiu perceber ações que já tinham sido realizadas e outras que poderão vir a ser implementadas no futuro. A ferramenta constitui um suporte à gestão da escola a médio e longo prazo, mas o trabalho realizado permitiu também concluir algo que de início podia não ser expectável, o facto do BI não ser um fim, mas sim um meio. A análise feita comprova que estas ferramentas exigem qualidade dos dados e a análise e validação humana, o que leva a compreender a dificuldade em integrar estas ferramentas a 100% no sector da educação.
School administration and management handle a large volume of data but often rely on manual reporting. Although the use of Business Intelligence (BI) tools is increasingly common, in the education sector this approach remains underexplored. The School of Technology of Setúbal, part of the Instituto Politécnico de Setúbal (ESTSetúbal/IPS), will see its information system (SIGARRA) discontinued in the academic year 2024/2025. The main objective was therefore to develop a dashboard representing the profile of its students between the academic years 2017/2018 and 2023/2024, using Power BI to facilitate the collection and visualisation of school data, automate tasks, improve time, and create an organised backup of information from the soon-to-be-discontinued SIGARRA system while embracing new technologies. The process began with the identification of these problems, followed by data collection, processing, and structuring for Power BI, the development of the visualisation within the dashboard itself, and finally its analysis, adopting the Action Research methodology. Through Power BI, it became possible to integrate data on enrolments, gender, nationality, courses, student status, dropouts, and graduates, among other relevant indicators. By exploring the school interactively, it was possible to identify actions that had already been implemented as well as others that could be introduced in the future. The tool serves as a support instrument for medium- and long-term school management; however, the study also led to an unexpected conclusion: Business Intelligence is not an end in itself, but rather a means to achieve it. The analysis carried out confirmed that such tools demand data quality and human validation, highlighting the challenge of fully integrating these systems within the education sector.
