O setor dos eventos tem ganho nos últimos anos uma grande projeção; desde os eventos desportivos, passando pelos eventos musicais e culminando nos eventos corporativos. São estes momentos de concentração de pessoas, ideias, objetivos e sensações que fazem com que as empresas pretendam servir-se de eventos para transmitir os seus valores e cultura empresarial, usando-os para ações de formação, divulgação de produtos ou simplesmente fortalecer os laços entre os seus trabalhadores.
Dentro dos eventos corporativos, existem várias tipologias de eventos, de acordo com a dimensão, objetivo e experiências proporcionadas: conferências e congressos (os exemplos clássicos de eventos corporativos), ações de formação, ações de motivação, lançamento de produtos, eventos publicitários, jantares de celebração, inaugurações, feiras empresariais (que promovem o encontro de várias empresas, habitualmente do mesmo setor de atividade), atividades de teambuilding (que promovem o espírito de colaboração entre os trabalhadores da mesma empresa) e ações de solidariedade (cada vez mais utilizadas pelas empresas, inserindo-se na comunidade e promovendo a sua cultura empresarial).
Para a organização de um evento corporativo, seja e que tipologia for, é necessário que os seus responsáveis planeiem todos os detalhes de modo integrado, ponderando em cada passo a Segurança e Gestão do Risco, o que pressupõe avaliar as ameaças/ perigosque possam pôr em causa a realização de um evento sem acidentes, incidentes ou quase-acidentes que conduzam a danos humanos ou materiais.
Desta forma, é aconselhável elaborar uma lista dos vários componentes do evento e avaliar as fragilidades de cada um desses itens e compreender a natureza dos seus riscos, decidindo, depois, se se pretende continuar com essa ideia ou não, o que significa uma tomada de decisão relativamente ao risco: minimizá-lo ou eliminá-lo.
Neste processo de gestão do risco, deve elaborar-se um Plano de Segurança (documento onde está descrito o conjunto de medidas a implementar para evitar a ocorrência de acidentes ou incidentes) e um Plano de Emergência (um documento onde se descrevem os procedimentos a tomar em caso de situação de emergência), para que o acesso á informação sobre segurança seja facilitado e os tempos de resposta acelerados.
No caso específico do staff, aconselha-se a que, na documentação que é distribuída, se coloquem informações de segurança, tais como o contacto da polícia e do 112, os hospitais mais perto, informações sobre segurança nas deslocações, legislação de fumadores, contactos das pessoas envolvidas no evento ou estratos dos Planos de Segurança e Emergência.
É, assim, fulcral compreender quais são, dentro de um evento corporativo, os fatores potenciadores de stresse que poderão conduzir a uma situação de risco. Avaliar questões como as que se seguem pode evitar momentos complicados: os tempos de espera na entrada dos recintos do evento, a capacidade das salas, o serviço de catering e a sua adequação ao tipo de evento e de público (tendo em conta as suas características, como por exemplo a sua cultura ou possíveis problemas médicos), a sinalética, o transporte e acessibilidades, a decoração e cores escolhidas, os efeitos especiais, os tempos de montagem e desmontagem, os tipos de disposição de mobiliário nas salas de reunião, as atividades de animação mais apropriadas, o programa do evento, o staff ou os horários de trabalho. Todas estas questões devem ser alvo de uma avaliação cuidada para que nada afete o decorrer do evento.
Este estudo tem por base a informação teórica relativa a eventos, eventos corporativos e Segurança e Gestão do Risco, mencionando ocasionalmente eventos ocorridos em Lisboa no primeiro semestre de 2012 e recorrendo a ferramentas de investigação para determinar a importância e as práticas de Segurança e Gestão do Risco para os responsáveis pela organização de eventos corporativos.
The event industry has been gaining great projection in the past years, from the sport events, passing through the music events up to the corporate events. Events are moments for the concentration of people, ideas, goals and sensations, used by the companies to spread their values and corporate culture. Within the corporate events, there are several types, according to the dimension, goals and give experiences: conferences and congresses (the classic examples of corporate events), training, motivations meetings, product launches, publicity events, celebration dinners, inaugurations, corporate fairs (which promote the meeting of several companies from the same sector), teambuilding activities and solidarity events (very common these days as a way for integrating in the community and promoting the corporate culture). For the organization of any kind of corporate event, its manager should plan all the details in an integrated mode, thinking on each step about Safety and Risk Management, which means to evaluate all the menaces/dangers that can put in a risk a safe event and free from accidents or incidents that conduct to human and/or material losses. It’s advisable to create a list of the several components of an event, evaluate the fragilities of each item and understand the nature of the risks, deciding, after all, if you want to continue with that idea or not, which means that you have to decide what to do with the risk: minimize or eliminate it. In this process of risk management you should elaborate a Safety Plan (a document where it’s described all the measures to avoid future accidents or incidents) and an Emergency Plan (a document where all the procedures in case of accidents or incidents are written), so that the access to the safety and security information is available and the timings of reaction accelerated. In the specific case o of the staff, it’s convenient to, in the documentation that it’s given, has safety and security information, like the police and the emergency numbers, the closest hospitals, indications about transportation safety, smoking policy, contacts of the people involved in the event or parts of the Safety and Emergency Plans. It’s very important to understand, within an event, which are the factors that can enhance stress and conduct to a risk situation. To evaluate issues like the following can viii avoid difficult moments: the timings of entrance in the venues, the capacity of the venues, the catering service and its relevance to the type of event (bearing in mind the public’s characteristics such as its culture or possible medical issues), the signage, the transportations and accessibilities, the decoration and colors, the special effects, the setting, the layout of the meeting rooms, the most appropriate animation activities, the event program, the staff or the schedules of work. All of these issues must be carefully evaluated so that nothing can affect the event. This study is based on the information on events, corporate events and Safety and Risk Management, referring occasionally to events that occurred in Lisbon during the first semester of 2012, and using investigation tools to discover the importance and the Safety and Risk Management practices within corporate events planners.
